Frequently Asked Questions by Exhibitors
We recommend that you first thoroughly read the information on the EXHIBITOR page, as your question might be answered there.
Q. Why can’t I purchase my booths with America Express or a check?
A. American Express will (frustratingly) not recognize METROCON as a legitimate entity, though Visa and MasterCard will and have for several years. We cannot accept checks for booth payments because the METROCON Committee is made up of volunteers, and we do not have the manpower and resources to process checks, track delinquent payments, etc. In short, we require instant payment online to secure booths so that we, as well as other Exhibitors who have paid in a timely manner, are not inconvenienced.
Q. Help! I accidentally pushed the purchase/submit button too many times and have purchased more booths than I wanted and, subsequently, have been charged multiple times. What do I do?
A. First, don’t panic. Instead of making another credit card transaction to remove the overpayment charge from the credit card, we will have to cut you a check for the overpayment amount. We need for you to email exhibitors@metrocon.info. The recipient of that email will put you in touch with the METROCON Bookkeeper, who will need the following information in order to process your refund:
- the exact name, company name, and email address you used to used to purchase booths for METROCON (i.e. the same one where you received your confirmation)
- proof of the multiple purchases (i.e., a screenshot, scan or fax of the credit card or bank statement – with your account number blacked out for security reasons, of course)
- how much to make the reimbursement check out for
- exactly whom to make the reimbursement check out to
- any notations to make in the memo line for your / your accounting department’s reference
- the address where we should mail the check
Q. We would like to cancel our booth space and have our money returned to us. How do we go about this?
A. If you look under the CANCELLATION portion in the Exhibitor Terms & Conditions (which Exhibitors had to agree to before purchasing space), it provides the date before which booth cancellations will be honored. After that date, the exhibitor is responsible for payment of all fees. If before that date, then email exhibitors@metrocon.info and request that your booth(s) be cancelled and a refund be processed.
Q. Would it be possible for us to mail out flyers to all of the attendees to introduce our company before the show?
A. We will be emailing an electronic spreadsheet "snail mail" list to Exhibitors AFTER the show, but not before the show. Why? Our online registration doesn't close until a couple of weeks before the event, and if history repeats itself, half of our registrants will be walk-up and register on-site. Therefore, the truncated list wouldn't be nearly as good as the final attendee list Exhibitors will receive after the show. Finally, since the METROCON Committee is made up of volunteers, we just don't have the time and manpower to export and distribute partial lists leading up to the event. Also, as stated in the METROCON Privacy Policy, we do not distribute attendee email addresses, but we do give all exhibitors names, company names, and mailing addresses as gathered on-site and during our online registration process.
Q. Can we choose our booth location when purchasing?
A. Unless you purchased a METROCON08 Sponsorship, you cannot choose your booth location. Please refer to Item #7 under the Exhibitor Rules for a complete explanation. Rest assured, however, that the METROCON Committee does everything is can to plan the layout for maximum traffic flow, including forcing certain traffic patterns and not pooling trades. We want to make our exhibitors as happy as possible because without them, we wouldn't have a show. It's a trade-off. We can keep booth prices low because it's all an all-volunteer team that organizes everything; however, with that comes certain restrictions due to limited time and resources.
Q. Why don’t you group exhibitor booths together by product / service type?
A. We actually do not group similar vendors together for a reason – as per the request of the majority of our exhibitors. All of the carpet manufacturers and distributors do not want to be next to each other, and the same goes for wallcovering, furniture, etc. However, we the METROCON Committee will not prohibit a METROCON Sponsor from specifically and knowingly choosing to be next to another METROCON Sponsor with similar product / services.
